Abstract
A web application is an application that is accessed via a web browser over a network such as the Internet or an intranet. The ability to update and maintain web
applications without distributing and installing software on potentially thousands
of client computers is a key reason for their popularity.
Student Teacher e-Record is a software application to manage student and teacher
data and retrieve the necessary information conveniently. It can be used by educational institutes or colleges, The college student and teachers gets username and
password with which they can login and get information about their courses, exam
result, routine, syllabus, upcoming events etc. from this application. This project
is based on creating dynamic website using MYSQL and PHP so it gives theoretical and practical knowledge of dealing online and making dynamic website. This
project is expected to increase the efficiency of the college’s record management
thereby decreasing the work hours needed to access and deliver student records to
users throughout the day, and again later to file these records. It also facilate online
registration and profile creation of teachers and students thus reducing paperwork
and automating the record generation process in any educational institution.

Chapter 1
Introduction
Today in this modern world of technology, most of the work is based on web
application. The web applications ease the human life by minimizing cost and
time. The web based application facilitates accessing data, file, information from
anywhere at any time. This has made the life much better and easier.
Student Teacher e-Record is all about recording, retrieving and editing the Student
Information in College, School and Universities. This will avoid student rushing
to their College, School and Universities to see their information.
In this system the student will get the information about his/her academic result,
fee structure, college routine, notes, assignment etc. Similarly teacher will also get
information about fellow students, they can upload Notes, Assignment and they
can view routine, calendar, salary statements. In this Student Teacher e-Record
teacher and Student can edit there information like name, password, address,
contact number etc.
1.1 Project Overview
The major goal of our project is to give information to the user from anywhere at
any time. In this system the student will request information’s related to his/her.
Student can view his/her own information, teacher information, result, syllabus,
notes and much other academic information. Teacher can upload Notes, Results,
and Assignments of their related subjects. He/she can also view information’s like
syllabus, teacher information, calendar, Course details, and much other information. Student and Teacher can change their profile information’s i.e. can change
password and username also. Administrator has full authority to view and upload
the information. Admin can enter the new student and teacher. Admin can upload
college information’s, academic information’s, etc.
1.2 Problem Statements
The current scenario for the college student and teacher for getting the college
related information is to go to the college and view the information. The college
administrator would have to go to college to find any student or teacher information if he is in the remote location. The problem with this system is that
administrator or teacher or student doesn’t have access to information if s/he is
in remote location. An organized and systematic once solution is essential for all
universities and organizations. There are many departments of administration for
the maintenance of college information and student databases in any institution.
All these departments provide various records regarding students. Most of these
track records need to maintain information about the students. This information
could be the general details like student name, address, performance etc. or specific information related to departments like collection of data. All the modules
in college administration are interdependent. They are maintained manually. So
they need to be automated and centralized as, Information from one module will
be needed by other modules.
For example, when a student needs his course completion certificate it needs to
check many details about the student like his name, reg. number, year of study,
exams he attended and the fee details as well as many other details. So it needs
to contact all the modules that are once, department and examination and result
of students
This may consume a lot of time and for viewing the next information then s/he
has to college for another time. In this modern context of world where most of the
things are web based it would be easier and practical to manage the various college related information in the website. Thus, a centralized database is maintained
which consists of all the necessary information of all the students and teachers

The Student Teacher e-Record provides a cost effective tool to improve the capacity
of schools to measure and report on student achievement. The overall objective is
to improve student performance through the information provided by the system.
Other objectives of the system include:
• To provide a proper registration channel/ system to the new students and
teachers.
• To maintain all the accounts of the students and teachers in digital form
from enrollment up to the end of the study.
• To update the information available to the departments at their desk whenever required in just a click away.
• To have a centralized control over the records of the students and teachers.
• Allowing college boards to share administrative services and focuses more
resources on the delivery of education
• Reducing administrative burden on college, improving flexibility and choice
for students and teachers and creating an integrated network to manage
student information for college.
• Providing college principals, college planning councils, college boards, and
educational leaders with the tools to capture student performance information, report on overall results, and make appropriate strategic decisions.
• Improving current systems and enabling all college to operate as part of an
integrated flexible education system.
1.4 Significance of Study
This system will monitor every student and teacher information. It will enhance
the efficiency of existing system (manually recording system) by consuming less
time and providing better facilities. It will maintain up-to-date information of
student, teacher and college academy.
This system will avoid student and teacher rushing and waiting in college for
getting information like results, notes, assignment etc. Thus it will reduce the
time of student and teacher, which can be used in any creative things. Teacher
can see student’s performance (results, attendance, grade) so that he/she can help
weak student and he/she can appreciate good student.
1.5 Scope and Limitation
1.5.1 Scope
Student Teacher e-Record is a web-based application for students, faculty, academic staff and parents who want to get and retrieve student’s whole information
instantly via internet. The major benefit of this web portal is to store the students information at one place (like SERVER) and it can be accessed via online
interaction.
The Student Teacher e-Record web portal is to replace the old and traditional file (paper work) storing process. Instead of tedious paper work, students will be able
to submit required information electronically, and the departments will be able
to evaluate the submissions with a much quicker turnaround. This application
whenever it is automated in the college or universities or school then it be very
much fruitful for the college administration itself as well as for all the students and
teachers.
1.5.2 Limitation
Since it is a web application so without the proper connection of internet this
doesn’t work out. All the paper work documents have to be updated into the
system so a proper computer skilled manpower is required from the administrator
side.
For various security as well as public disclosure of information reason all user
cannot use all the utilities and modify the system settings. This is just a web
application and is not fully automated for the mobile users.

Literature Review
Several website and books has been studied to design our system. Our project
is inspired by the site of different universities and colleges Student Information
System sites and opensis.com.
2.1 Related Work
1. Mobile Student Information System
A mobile student information system (MSIS) based on mobile computing and
contextaware application concepts can provide more usercentric information
services to students. The purpose of this paper is to describe a system for
providing relevent information to students on a mobile platform. Several
mobile systems exist that provide generic campus information for students
and this paper describes one of the few systems of this sort of personalization
which have been evaluated.
2. Proctorial Student Information System
This is a web based system that will automate the manual system used for
management and maintenance of the critical information which reduces a
lot of paper work. This system provides parents an easy access to their
wards academic performance. This system has special access to the proctor
to update the students details and also includes the counselling of the ward
about his/her performance. The administrator has the complete access to
database so that the users do not modify the details.This project includes
sending the progress reports of each student to his/her parents/guardians
furnishing the details of attendance, class marks, and examination results.
3. Web Based Student Information Management System
Student Information Management System (SIMS) provides a simple interface for maintenance of student information. It can be used by educational
institutes or colleges to maintain the records of students easily.. Student
information system deals with all kind of student details, academic related
reports, college details, course details, curriculum, batch details, placement
details and other resource related details too. It will also have faculty details,
batch execution details, student’s details in all aspects, the various academic
notifications to the staff and students updated by the college.

Northern Arizona University, University of Helsinki.
2.1.1 Existing System
In existing system every organization follows manual procedure in which faculty
should enter all the details of the students such as attendance, internal marks and
the counseling of the student after each internals which is a time taking process
and there is a chance of misplacing the records.
2.1.2 Limitations of Existing Systems
Existing system requires lot of paper. Loss of even a single register/record led
to difficult situation because all the papers are needed to generate the reports.
Every work is done manually which consumes more time. It increases the frequent
interaction of the proctor with the student. Maximum SIS deals only with student
information but not of teachers.
2.1.3 Proposed System with Benefits
In proposed system chances of losing data is not possible because data is maintained in the form of database. Every student’s academic performance information
and teacher’s information is updated in to database using a user friendly GUI. This
is an online application which makes more flexible to access information
2.2 Platform Used
PHP and MYSQL are use as programming tool in this project. The combination
of PHP and MYSQL help to create dynamic, interactive and database driven
websites. It helps to make pages that are updated frequently. At the same time, it
makes the developer easier to update and maintain the websites. For these reasons
and more, websites are being built using PHP and MYSQL.
• Front End Tool:
PHP is used as front end tool. PHP is a server side scripting language.
PHP provide excellent performance, a tight integration with nearly every
database available, stability, portability, and a nearly limitless feature due
to its extendibility.
• Back End Tool:
MYSQL is used as a back end tool. MYSQL is very popular open source
database and is commonly used with PHP. Like PHP, MYSQL offers excellent performance, portability and reliability. By incorporating a database
into a web application, some of the data generated by PHP can be retrieved
from MYSQL.
